A negative review is public evidence of a customer’s experience. The response is for future customers as much as for the person who complained. Reply promptly, calmly, and without revealing private order or contact information.
Acknowledge the concern without admitting facts you have not checked. Apologize for the poor experience where appropriate. Explain the next step and move detailed resolution to a private channel. Do not insult the reviewer, threaten legal action, or offer a reward for changing the review.
After resolving the issue, record what caused it. Repeated complaints about late delivery, unclear pricing, poor packaging, or missed calls require an operating fix. Genuine reviews should not be removed simply because they are negative. A professional response shows that the business listens and has a process for making things right.
