Check that the supplier invoice matches the order and delivery: product descriptions, codes, quantities, dates, unit prices, and charges should agree with what you accepted. Compare the totals and note any discount, tax, or transport amount that needs clarification.

If a line is missing or incorrect, ask the supplier for a corrected document and keep the original with it. Do not alter an invoice yourself to make it match the stock record. Link the invoice to the purchase request and delivery note so a later cost check has a clear source.

Retain business and tax records as required for your circumstances, and consult current KRA guidance where eTIMS or tax-document obligations apply. A supplier invoice is evidence of that transaction; it does not by itself confirm product quality or compliance.
