Keep one approved record for each product's current price, including the currency and the date it takes effect. When the amount changes, update the online listing, shop materials, and any active links or posts before promoting the item again.

Give one person responsibility for price edits and ask them to check the customer-facing offer after each update. A saved WhatsApp message or an old social post can still circulate, so replace or correct it where practical. If another channel has a legitimate extra charge, explain it before the buyer commits rather than leaving two unexplained totals.

At the counter, compare the displayed price with the current record and any online hold before confirming availability. Keep a short change log so staff can answer questions about older screenshots without guessing which amount was approved. If a price cannot be confirmed, tell the customer you are checking instead of quoting from memory.
