Before dispatch, confirm the make or model, dimensions, fault symptoms, site access, and any part number that can be checked safely. Review job history and stock records, but do not assume a customer's description identifies the failed component. If an unknown part may be needed, explain the chance of a second visit and how approval for a purchase will work. Update stock after each job.
Set a customer-approved spending limit for parts, or request approval for every purchase above the estimate.
Check common consumables and parts before leaving and record what was used after each job. For an uncertain fault, explain that diagnosis may reveal a different component and agree the approval threshold. Do not carry customer-specific parts between jobs without labelling and keeping them secure.
