Name the customer’s job, the work included, materials, travel, and any assumptions. State which conditions would change the quote and ask the client to approve before work starts. If the quote is provisional pending inspection, label it clearly.

Send a written quote as a document or clearly formatted message with a reference, customer and job details, scope, exclusions, price basis, validity period, and acceptance step. Ask the customer to confirm any changes in the same thread. Avoid sending a revised amount without explaining why it changed, and keep a copy of the accepted version so both sides can refer to the same terms.

Ask the customer to reply with acceptance or specific questions, and acknowledge receipt before treating the quote as approved.
