Start with the products that are easiest to confuse, such as shirts in similar colours or phone accessories with different connectors. Agree on one name and stock code for each option, then show staff where to find that information on the product or its label.

Write a short counter guide with examples of correct entries and a rule for recording substitutions, holds, and returns. Have each person practise using real products, then compare the record with the item sold. If the shop uses POS, test the steps in its current configuration before relying on automatic stock changes.

Review a few entries after busy periods to spot recurring mix-ups. Correct the product labels or instructions when staff interpret an option differently; do not circulate customer details in training examples. This process works for one shop assistant or a larger team and can be adjusted as the range changes.
