Separate units already received and checked from goods a supplier expects to send. Do not advertise a firm restock date until the supplier confirms the quantity and timing; mark an estimate as provisional and state what remains uncertain.
If a customer asks to be updated, note their preferred contact method and when you will check again. Interest is not payment or a reservation. Agree any hold period and cancellation terms directly before taking an order or setting aside stock.
When a date slips, correct the public availability note and tell waiting buyers promptly. Offer an available alternative only after describing how it differs and obtaining agreement. Share the current listing rather than an old screenshot, and do not imply that an expected shipment is already in stock.
Keep a simple restock log with the supplier's latest update, the date you checked, and any quantity confirmed. If timing is still uncertain, say so plainly and avoid collecting payment against an unconfirmed delivery unless the terms are clear and lawful.
