A customer who sends a message is already showing interest, but they may also be contacting alternatives. Slow replies create doubt, especially when the product, service, or appointment is time-sensitive.
Set an expectation you can meet. Use a business greeting that states working hours and the information needed for a useful answer. Prepare short responses for prices, delivery, location, booking, and availability, but personalize the details. If the answer needs research, say when you will return with it.
Route messages when several people handle enquiries. Record unanswered conversations and review them daily. Follow up once when appropriate, then respect silence. Fast replies do not mean rushed promises. They show the customer that the business is organized and available to help.
