When an employee leaves or changes roles, the owner should be able to remove their access without disrupting the whole business. Avoid shared KobStore logins and personal email accounts used by several staff. Separate accounts make it easier to see who is responsible and to deactivate a specific team member when needed.
Review access and ownership
List the systems the person could use: KobStore dashboard tabs, business email, social profiles, payment tools, inventory records and shared files. Remove or reduce access promptly, transfer ownership of work accounts and check recovery phone numbers or emails. KobStore team access, where available to the seller's tier, lets the owner assign selected dashboard tabs and deactivate or remove team members. Do not assume deactivating one account also removes access to unrelated services.
Keep the owner login private and update shared passwords that were previously exposed. Review active sessions and recovery options using the controls each service provides. Preserve business records needed for orders, accounting or legal obligations, but do not retain personal staff or customer data without a reason.
Make offboarding repeatable
Use a checklist with the person's last working day, access to revoke, files to transfer and equipment to return. Assign one responsible manager and verify that links, recovery methods and customer messages still reach the right staff. For sensitive records, limit access to people who need it for their role and follow current privacy and retention obligations.
Access control is an ongoing routine, not a one-time password change. Review permissions after promotions, branch changes and staff departures.
